Greetings EasyClockers. Happy New Year to all of you! We wish you all the best for this year 2020, may all of your new year resolutions come true and everything that you set yourself to accomplish happens for you. We have our first release of the year, we have a couple of new enhancements in our lunch and break rules and we also added more endpoints to our API library. Enhancements/Add-ons:

  1. “Viventium Accounts”- Remove all PTO features from EasyClocking and Viventium Integration: Due to integration agreements, all PTO features will be removed for Viventium customers using EasyClocking for Time and Attendance.  Paid Time Off is managed in Viventium. A critical setting has been created to disable all PTO features for all Viventium accounts using EasyClocking.
  2. “Department API Endpoint” – Department Custom Fields are now part of the endpoint values: The “Department Custom Fields” are now available as result values in the department API endpoint. This value was not available previously.
  3. “Location API Endpoint” – Location Custom Fields are now part of the endpoint values: The “Location Custom Fields” are now available as result values in the location API endpoint. This value was not available previously.
  4. “Export” – Job Custom Field is now available as an export value: The “Job Custom Fields” are now available to be exported as export results when generating a Timecard Jobs Summary export. This value was not available previously.
  1. “Lunch and Breaks” – Lapse Breaks Enhancement – Ability to pay a  break only if maximum break length is not exceeded: Just providing more flexibility for payment and deductions of Lunch and Break rules, we have added the ability to configure Lapse breaks to “only” be paid if the maximum break length allowed is not exceeded. This came as a request from multiple customers for which this Time and Attendance rule applies. We also changed the configuration experience by providing easy questions to answer when setting up your lunch and break rules.

  5. “Monthly Pay Period Frequency” – Ability to define a custom start date for monthly pay period frequency: Previously, our monthly pay period would start from the 1st to the last day of the month. We did not have the ability to set a custom start date for monthly pay periods. This enhancement came in as a request from multiple clients that need to have the ability to set a custom start date for their monthly pay period. This is a critical setting and if you want this enabled in your account, simply contact our team for assistance.
  6. “Dashboard Timecards” – Ability to unlock and modify timecards for previous pay periods: Previously, we would allow users to unlock and modify timecards for the previous pay period and moving forward. Anything prior to the previous pay period could not be modified. We have received multiple requests to enhance this feature in the software. We have created a new critical setting that will allow for these modifications to be done on previous pay periods. Kindly contact our team if you would like to allow modifications to previous pay periods to be done.
  7. “Projects and Jobs” Enhancement – We will now offer a separate Job validation: Currently, customers who assign all project/jobs to all users are having challenges with the clocks syncing jobs efficiently – with a new critical setting there will now be an option to validate against only a master list of project/jobs instead of per-user project/jobs, eliminating the need to send those huge commands to every clock periodically to sync every users valid project/job list.

Fixed Errors/Bugs:

  1. “Data Collection” EC Web Import tool issue – Error when importing projects and jobs: The import tool was generating an error stating that the projects or jobs being uploaded were duplicate and already existed in the software but this was incorrect. After further testing, the projects or jobs were not in the system. We have corrected this error and now projects and jobs can be uploaded without any issues.
  2. “Data Collection” EC Web Import tool issue – Error when importing employees: The import tool was generating an operation error when importing more users than what is allowed in the license. The tool will now generate a warning message if this occurs. The message says: Oops, something went wrong, it seems you are trying to upload more users than you are allowed. Please contact our staff to upgrade your license or update the file to have fewer employees.
  3. “Lunch and Breaks” Lapse Break Issue – Paid Break total was incorrect when using lapse breaks to be paid automatically: Lapse breaks were not paying the correct amount that should be paid for the break when it was configured to pay automatically. The issue has been corrected and the correct totals are now being displayed.
  4. “Xero payroll integration Enhancement” Bulk Approval action will now transfer hours to xero payroll: The “bulk approval” action is very similar to the default time card approval process where the user has to approve EMP’s timecards in the dashboard, but instead of one employee at a time, you can bulk approve multiple users. Once a timecard is approved, the hour’s transfer to xero payroll. Bulk approving timecards will also transfer the hours.
  5. “Dashboard – Bulk Timecard Edit tab” – When deleting a single timecard event the save button does not work: This was a quick fix that was completed in the bulk timecard area, When editing timecards in this area, it should allow the user to delete single events but a small was causing this to fail. The issue was detected and corrected.
  6. “Users” Payclass History change issue – When updating an employee payclass using the API, the EMP payclass history was not getting updated: The EasyClocking API allows users to modify and change the payclass for an employee.  When a payclass is changed is done for an employee, this is recorded in the payclass history log for users. When this change was being made using the API, this change was not recorded in the payclass history log. The issue has been fixed.
  7. “Reports Issue” When generating a report and “cover page” option is selected, filtered contractors would show on the cover page: This issue was reported by the company “Bevo Farms”. When generating reports to show cover page and also filtered by contractor, some of these criteria were missing on the cover page report.

Once a timecard is approved, the hour’s transfer to xero payroll. Bulk approving timecards will also transfer the hour
  5. “Dashboard – Bulk Timecard Edit tab” – When deleting a single timecard event the save button does not work: This was a quick fix that was completed in the bulk timecard area, When editing timecards in this area, it should allow the user to delete single events but a small was causing this to fail. The issue was detected and corrected.
  6. “Users” Payclass History change issue – When updating an employee payclass using the API, the EMP payclass history was not getting updated: The EasyClocking API allows users to modify and change the payclass for an employee.  When a payclass is changed is done for an employee, this is recorded in the payclass history log for users. When this change was being made using the API, this change was not recorded in the payclass history log. The issue has been fixed.
  7. “Reports Issue” When generating a report and “cover page” option is selected, filtered contractors would show on the cover page: This issue was reported by the company “Bevo Farms”. When generating reports to show cover page and also filtered by contractor, some of these criteria were missing on the cover page report.
